Job Description

An established private debt and equity investor with more than 10 years of experience and 30 companies under management with offices in Brooklyn and Monsey, NY, is looking for a self-driven and ambitious Executive Assistant to join their Brooklyn team! As an Executive Assistant at their company, you will be responsible for supporting managers and employees through a variety of tasks related to organization and communication on a daily basis. The company’s primary investment strategies include middle-market direct lending, real estate, private equity, structured credit, and middle-market buyouts. After a decade of providing their clients with quality service, their goal remains the same, to ensure that their clients are catered to properly and confidentially. They value integrity and reliability; therefore, the company ensures dependable & high-quality service to their clients. 

Responsibilities:

  • Main point of contact amongst executives, staff, external partners, and other satellite offices
  • Manage information flow via email and other messaging platforms in a timely and accurate manner.
  • Manage CEO calendars and set up meetings
  • Make travel and accommodation arrangements occasionally
  • Prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing systems
  • Maintain compliance with all company policies and procedures
  • Other duties as assigned

Requirements:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • 1-2 years of office administration or similar related experience
  • Excellent computer proficiency (MS Office – Word, Excel, and Outlook)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Work experience as an Executive Assistant, Personal Assistant, or similar role
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
  • Discretion and confidentiality
  • High school diploma or GED required.
  • Associate degree preferred.
