Job Description

A growing gift and gourmet food e-commerce company is seeking a smart, tech-savvy, and highly resourceful Production Assistant to support daily operations and production workflows. This role works closely with the Production Manager and acts as a key connector between management, warehouses, vendors, logistics partners, and the virtual assistant (VA) team. The ideal candidate is proactive, highly organized, and solutions-driven, with the ability to juggle many moving parts across products, production, and fulfillment. This is a hands-on role with real responsibility and room to grow — including the opportunity to eventually manage and lead a VA team. This is not a strict 9–5 role; flexibility and ownership are important, especially during peak production and shipping periods.

Responsibilities:

  • Support the Production Manager with day-to-day production, operations, and logistics workflows
  • Coordinate product movement between warehouses, 3PLs, and vendors
  • Manage and track shipments, POs, timelines, and delivery accuracy to ensure on-time fulfillment
  • Handle production “legwork,” including packaging coordination, shipment setup, and follow-ups
  • Communicate with Warehouse Managers, vendors, and logistics partners to resolve issues quickly
  • Work closely with and coordinate tasks for the VA team; help ensure priorities are clear and executed
  • Troubleshoot production, inventory, and fulfillment issues; proactively prevent delays
  • Maintain accuracy across product details, inventory updates, and operational systems
  • Assist with onboarding new products, vendors, and workflows
  • Monitor quality control, delays, and exceptions across orders and shipments
  • Continuously look for ways to improve efficiency and streamline processes
  • Take on additional operational responsibilities as the role grows
  • Other duties as assigned.

Requirements:

  • Experience in operations, production, logistics, supply chain, or e-commerce is a plus (not required)
  • Strong ability to manage multiple moving parts and shifting priorities
  • Highly organized, detail-oriented, and dependable
  • Tech-savvy with the ability to learn new systems quickly
  • Strong problem-solving skills and a “figure it out” mindset
  • Clear and effective communication skills
  • Comfortable in a fast-paced, growing environment
  • Willingness to be flexible with hours when production or shipments require it
  • Positive, proactive, team-oriented attitude
