Job Description
A privately held healthcare real estate owner-operator focused on acquiring and managing skilled nursing facilities is seeking a reliable, detail-oriented Executive Assistant to support senior leadership within a growing office operating in the multifamily healthcare space. This role is onsite and plays a critical part in keeping financial, administrative, and operational processes organized and accurate. The ideal candidate is trustworthy, organized, and comfortable handling sensitive information. While an accounting background is not required, a basic understanding of financial documents and spreadsheets is important.
Responsibilities:
- Manage and prioritize executive email correspondence, ensuring timely responses and consistent follow-up
- Provide daily administrative and operational support to the Director of Finance/CFO, acting as a trusted right hand
- Maintain, organize, and manage sensitive documents, contracts, and financial records with accuracy and discretion
- Update and track spreadsheets related to mortgages, loan balances, interest rates, and other financial data
- Assist with document management and data entry using Excel and AppFolio
- Support finance and operations projects by preparing reports, gathering documentation, and coordinating internal follow-ups
- Review information for accuracy, identify discrepancies, and correct errors as needed
- Communicate professionally with internal teams and external contacts
- Keep systems, files, and workflows organized in a fast-paced office environment
- Handle confidential information with honesty, professionalism, and respect
- Other duties as assigned
Qualifications:
- Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant
- Strong organizational and follow-up skills
- Comfortable working with spreadsheets and financial data (training provided)
- High level of honesty, professionalism, and discretion
- Detail-oriented; able to acknowledge and correct mistakes
- Shows initiative, accountability, and a strong work ethic
- Strong written and verbal communication skills
- Comfortable working onsite, full-time
Note: A background in accounting or finance is not required, but familiarity with basic financial concepts is a plus.
